Terms
The deal between Fieldly and the businesses that run on it.
The short version
- You get software to run your field-service business.
- Your data stays yours, and you can take all of it with you, free, whenever you want.
- The core product is free during the founding-partner beta.
- You are responsible for what you do with it — including your regulatory obligations.
- Either of us can end this. We will not hold your data hostage if you do.

Who this agreement is with
These terms are between Fieldly and the business that creates an account ("you"). If you accept them on behalf of a company, you are confirming you are allowed to do that. Your staff use the account under your control, and you are responsible for what they do with it.
The service
Fieldly provides scheduling, customer records, job and compliance logging, invoicing, a technician mobile app, and a customer portal. Features change as the product develops. During beta things may break, and we will not remove something you depend on without telling you first.
Availability
We aim for the service to be up whenever you need it, and we do not offer a contractual uptime guarantee during the beta. We would rather say that than publish a number we cannot back.
Your account
- Keep your sign-in credentials to yourself; you are responsible for activity under your account.
- Set a real password, and do not leave a staff member on the one that was generated for them.
- Tell us promptly if you believe an account has been compromised.
- Remove staff who leave — owners can deactivate an account immediately from Settings.
Your data and your customers
You own your business data and the records of your customers. We store and process it to provide the service and for nothing else — we do not sell it, mine it for advertising, or use one operator's data to benefit another.
You are responsible for having the right to enter your customers' details, for telling them what you collect, and for honouring their requests about it. Where we act on your instructions about your customers' data, we act as your processor.
Compliance records — read this one
Fieldly stores chemical application logs, EPA registration numbers, service reports, and customer signatures because operators are required to keep them. Storing a record in Fieldly is not the same as complying with the law. We do not verify that a log is complete, correct, or sufficient for your jurisdiction, and we are not your compliance advisor. Meeting your regulatory obligations — including retention periods and what must be recorded — remains yours.
Practical consequence: keep your own copies. Exports exist for exactly this reason and are free.
Acceptable use
Do not use Fieldly to:
- Break the law, or help someone else do so.
- Send messages the recipient did not agree to receive. The SMS and email features are for talking to your own customers about their own service — not for marketing blasts.
- Upload malware, or content you have no right to.
- Attack the service, or try to reach another operator's data.
- Resell access to Fieldly as your own product without an agreement with us.
Fees
The core product is free during the founding-partner beta. When card payments launch, Fieldly takes a small percentage of card payments processed through it, disclosed before you turn the feature on. Pass-through costs — SMS, AI usage beyond the included allowance — are billed at cost as separate line items, not marked up.
Founding partners keep their pricing when general pricing arrives. If we ever change what something costs, you will hear it from us with notice rather than discover it on an invoice.
Suspension
We may pause an account for non-payment or for a serious breach of acceptable use, and you will be told why. Data export stays available the entire time — a suspended account is not a locked filing cabinet.
Ending it
You can close your account at any time, for any reason, without talking to anyone first. Export your data before you do — see Data export — or ask us and we will produce it for you afterwards. We delete account data within 30 days of a deletion request.
We may end the agreement with 30 days' notice, or immediately in the case of a serious breach. If we discontinue the service you get notice and a window to get your data out.
Warranty and liability
The service is provided as-is. We do not warrant that it will be uninterrupted or error-free, and during beta you should assume it occasionally will not be.
To the extent the law allows, Fieldly is not liable for indirect or consequential losses — lost profits, lost business, or lost data beyond our backup obligations — and our total liability is limited to the fees you paid us in the twelve months before the claim. During the free beta that figure may be zero, which is another reason to keep your own exports.
Nothing here excludes liability that cannot lawfully be excluded.
Changes to these terms
We will email account owners before a material change takes effect. If you do not agree with a change, you can close your account and take your data with you.
